As the lead UX designer on the Meeting Assistant project, I aimed to create a seamless and intuitive user experience that caters to the dynamic needs of today's professionals. We addressed core pain points such as the urgency and unpredictability of room requirements, navigational difficulties in large offices, and the disconnect between digital calendars and physical spaces. By integrating real-time data, personalized interactions, and streamlined processes, the app not only enhances efficiency but also transforms how users interact with their work environments. This project was an exhilarating opportunity to blend technology with user-centered design to deliver solutions that are both innovative and practical.
Pain Points Identified:
• Difficulty in finding an available meeting room, especially spontaneously or in unfamiliar locations.
• Challenges in navigating large buildings to locate booked rooms.
• Inefficient booking processes that are not integrated with personal calendars.
• The need for a quick and efficient way to check the status of rooms.
New Features and Solutions:
• Real-Time Room Availability: The app provides real-time updates on room availability and allows spontaneous room booking directly from room displays or via mobile.
• Integrated Navigation: Directions to rooms are integrated into the app, providing turn-by-turn navigation that vibrates to indicate direction changes.
• Automatic Calendar Sync: The app syncs with Outlook to automatically mark the user's status as busy and updates their calendar upon entering the room.
• Guest Management: For guests, the app offers quick check-ins with personalized greetings and navigational support directly on their devices.
• Quick Access Link in Emails: Meeting invitations include a direct link to the app, offering instant access to room locations and details.
